Hugg Travel Co ("we," "us," "our") is a travel advisory business based in Nashville, Tennessee, operating as an affiliate of FORA Travel. This policy explains what personal information we collect, why we collect it, who we share it with, and what choices you have. It applies to huggtravelco.com and to the travel advisory services we provide.
1. Information We Collect
1.1 Information you give us directly
Contact details: name, email address, phone number, and mailing address
Trip planning information: destinations, travel dates, budget, party size, travel style preferences, occasion (honeymoon, anniversary, birthday), and prior travel history
Traveler details required for booking: the full legal names, dates of birth, and passport or identification details of everyone traveling, where a supplier requires them to issue a reservation
Preferences relevant to your trip: dietary requirements, allergies, accessibility or mobility needs, bed configuration, and similar details that hotels, restaurants, and local partners need in order to host you properly
Correspondence: emails, text and WhatsApp messages, form submissions, and notes from consultation calls
1.2 Payment information
We do not store your credit card or bank account numbers. Planning fees are invoiced and processed through our payment provider. Payments for hotels, activities, and other travel services are made directly to the supplier or through secure links the supplier or booking platform provides. Those payments are handled under the supplier's own privacy and security practices, not ours.
1.3 Information collected automatically
Our website uses cookies and similar technologies, including Squarespace's built-in analytics, Google Analytics, and the Meta pixel. These collect information such as your IP address, browser and device type, pages viewed, time on site, and how you arrived at the site. We use this to understand which content is working and to measure the performance of our advertising.
1.4 Information from other sources
We may receive your information from FORA Travel when a lead is routed to us, from Instagram or messaging tools when you contact us through social media, and from friends or past clients who refer you to us.

To communicate with hotels, airlines, local partners, and other suppliers on your behalf

3. How We Share Your Information
We share your information only where it is necessary to deliver the services you have asked for, or where the law requires it. Specifically:
Travel suppliers: hotels, resorts, villa companies, airlines, cruise and yacht operators, tour operators, drivers, restaurants, and destination management or local partner companies. This includes traveler names, dates of birth, passport details, and preferences where required to secure the reservation.
FORA Travel: as our host agency, FORA processes bookings, commissions, and supplier relationships on our behalf.
Service providers that run our business: our website and form platform, email marketing platform, scheduling tool, project management system, and payment processor. These providers may access your information only to perform services for us.
Legal and safety: where required by law, subpoena, or to protect the rights, property, or safety of our clients, ourselves, or others.
We do not sell or rent your personal information, and we do not share it with third parties for their own independent marketing.
4. International Transfers
Because we arrange travel worldwide, delivering our services necessarily involves transferring your information to suppliers located outside the United States. Those countries may have data protection standards that differ from those in the United States. By asking us to book travel abroad on your behalf, you understand that your information will be shared with the suppliers required to fulfill those arrangements.
5. Sensitive Information
Some details you share, such as dietary restrictions, allergies, accessibility needs, or the occasion you are celebrating, are more personal than the rest. We collect them only when they are relevant to your trip, share them only with the suppliers who need them to host you well, and do not use them for marketing or profiling. If you would prefer we not pass a particular detail along, tell us and we will leave it out.
6. Use of Technology and AI Tools
We use technology tools, including artificial intelligence, to research destinations and draft itinerary recommendations. All such work is reviewed and approved by a human advisor before it reaches you. We do not upload payment card numbers, bank details, or passport documents to AI platforms. Information shared with these tools is processed under the tool providers' own data handling policies. This is described further in Section 18 of our Terms and Conditions.
7. Cookies and Advertising
You can control cookies through your browser settings, though disabling them may affect how parts of our site work. You can opt out of Google Analytics using Google's browser add-on, and you can adjust how Meta uses your activity for advertising through your Facebook and Instagram ad preferences.
8. Marketing Emails
If you have subscribed to our newsletter or downloaded a guide, we may send you travel content, destination features, and occasional offers. Every marketing email includes an unsubscribe link, and you can opt out at any time. Opting out of marketing does not stop the operational emails required to plan and service a trip you have booked.
9. Data Retention
We keep client trip records for as long as you remain an active or returning client, and afterward for as long as needed to meet tax, accounting, and legal obligations. Passport details and dates of birth are retained only as long as necessary to complete and support the bookings they were collected for. Marketing contacts are kept until you unsubscribe.

You may ask us to:
Tell you what personal information we hold about you
Correct information that is inaccurate or out of date
Delete information we no longer need to retain
Stop sending you marketing communications
Email julia.hugg@fora.travel and we will respond within 30 days. Note that we cannot delete information a supplier holds independently, or records we are required to keep for tax and legal purposes.
11. Security
We take reasonable steps to protect your information, including limiting who can access it and using reputable platforms with their own security practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send passport scans, card numbers, or other sensitive documents over unsecured channels. We will tell you the right way to send anything sensitive.
12. Children's Privacy
Our website and services are directed to adults. We do not knowingly collect information directly from children. When we book family travel, information about minor travelers is provided to us by a parent or guardian and used solely to make those travel arrangements.
13. Third-Party Websites
Our site, emails, and itineraries may link to hotels, suppliers, booking platforms, and other third-party websites. We are not responsible for their privacy practices, and we encourage you to review their policies before providing information to them.
14. Changes to This Policy
We may update this policy from time to time. The effective date at the top of this page will reflect the most recent version. Material changes will be communicated to clients with active bookings.
